How to add your signature to your email
Click Copy signature above, then follow the steps for your email app.
- In Gmail on a computer, click the gear icon, then See all settings.
- On the General tab, scroll to Signature and click Create new. Give it a name.
- Click in the signature box and paste (Ctrl+V, or Cmd+V on a Mac).
- Under Signature defaults, choose it for new emails and for replies/forwards.
- Scroll to the bottom and click Save Changes.
Gmail accepts signatures up to 10,000 characters; the chip above the preview shows yours. Images must be at a public URL.
- In Outlook on the web (Outlook.com or Microsoft 365) or the new Outlook for Windows, open Settings (gear icon).
- Go to Account (or Accounts) → Signatures.
- Click + New signature, give it a name, click in the box and paste.
- Pick it as the default for new messages and replies/forwards, then click Save.
If the photo shows a placeholder, check its URL opens in a private browser window. Rounded photo corners show as square in some Outlook versions; that is normal.
- In classic Outlook for Windows, go to File → Options → Mail → Signatures…
- Click New, type a name and click OK.
- Click in the Edit signature box and paste.
- On the right, choose it for New messages and Replies/forwards, then click OK.
Alternative: click Download .htm, press Win+R, open %APPDATA%\Microsoft\Signatures and copy the file there; it appears in the Signatures list. On Outlook for Mac: Outlook → Settings → Signatures → +, then paste.
- Open Mail on your Mac, then Mail → Settings (or Preferences) → Signatures.
- Select your account on the left and click +. Name the signature.
- Untick Always match my default message font, so your fonts and colours stay.
- Delete the sample text in the right-hand box and paste.
- Choose it in the Choose Signature menu below and close the window.
Images from URLs may show as a blue "?" in the settings window but appear in sent emails.
- Open this page on your iPhone in Safari, make your signature and tap Copy signature.
- Open Settings → Apps → Mail → Signature (on older iOS: Settings → Mail → Signature).
- Clear the existing text, tap the field and paste.
- If iOS simplifies the formatting, shake the iPhone and tap Undo to restore it.
Tip: save your signature in Sigsprig on your computer, export the backup and import it on your phone.
- In Yahoo Mail, click Settings (gear) → More Settings → Writing email.
- Under Signature, switch it on for your email address.
- Click in the box and paste. Yahoo saves it automatically.
- In Thunderbird, open Account Settings and select your email address.
- Tick Use HTML next to Signature text.
- Click Copy HTML source here and paste the code into the box. Or tick Attach the signature from a file instead and choose the downloaded .htm file.

Outlook email signatures that don't break
Classic Outlook for Windows draws email with Microsoft Word's engine, so modern web layout (flexbox, grid, CSS classes, background images) falls apart. Sigsprig's templates use only nested tables, inline styles, fixed image widths and web-safe fonts, the same techniques email designers use for Outlook. A few things to expect:
- Rounded photos show square in classic Outlook; use a square or circular-cropped image file if the round look matters.
- Images must be public URLs. Outlook may ask recipients to "download pictures"; that is a recipient setting, not a signature fault.
- New Outlook and Outlook on the web keep signatures in your Microsoft account, so you add them once in Settings → Accounts → Signatures.
- Classic Outlook keeps signatures per computer in
%APPDATA%\Microsoft\Signatures; the downloaded .htm file can go straight there.
What makes a good email signature?
Keep it short: name, role, company, one phone number, website and two or three social links. Use one accent colour, a photo or a logo (not both large), and a legal line only if your business needs one. Every Sigsprig template stays well under Gmail's 10,000-character limit with image URLs.

Is Sigsprig really free?
Yes. Four templates, one saved signature and every install guide are free, with a small "Made with Sigsprig" link at the bottom of the signature. Pro removes the link and unlocks the rest.
Why not WiseStamp?
WiseStamp is a full signature-management service with monthly plans (Pro+ $9/month on annual billing; team plans $19/month plus $1 per employee, checked 2 Oct 2026). If you want central management and analytics, it is a good choice. If you want a clean signature without a subscription or an account, Sigsprig Pro is $15 once.
Is my data private?
Yes. Sigsprig runs entirely in your browser. Your details, saved signatures and team CSV stay on this device. Nothing is uploaded, there is no account, and the only network request is the one-time Pro unlock check after you buy.
What does Pro add?
All 12 templates, no credit link, a call-to-action button and banner, unlimited saved signatures and team mode (one signature per person from a CSV, downloaded as a ZIP). Pro covers one person; the Team licence covers up to 50 people.
Can I cancel?
There is nothing to cancel. Pro and Team are one-time payments, not subscriptions, and you keep what you bought.
Why do my images not show?
Email apps only show images at a public web address. Use the image URL from your website or company site (right-click the image, Copy image address). Embedded images are often hidden by Gmail and Outlook on the web.
Will it work on my phone?
Yes. Make the signature on your phone and paste it into your mail app's signature setting, or follow the iPhone guide above. The signature itself is a narrow table that reads well on small screens.
Can I use it for my whole company?
Yes. Team mode takes a CSV of names, titles, emails, phones and photo URLs and makes one matching signature per person. The Team licence ($39 once) covers up to 50 people.
