Time card calculator with lunch break

Type the in and out times for each day and the unpaid lunch in minutes, or clock out and back in for lunch as two punches. The calculator takes the break off, totals the week in hours and minutes and in decimal, and works out overtime and pay.

Breaks under US federal rules (29 CFR 785)
  • A real meal break (usually 30 minutes or more, fully relieved from duty) is not work time: subtract it
  • Short rest breaks of 5 to about 20 minutes count as hours worked: don't subtract them
  • State laws can add meal and rest-break rules of their own

A real week, worked out by the calculator

Hourly rate $18.00, weekly overtime after 40 hours at 1.5×. Friday is entered as two punches; the other days use the break field.

Total 40:45 (40.75 hours): regular 40:00 = $720.00, overtime 0:45 = $20.25. Gross pay $740.25. Overtime is counted on the weekly total, so it lands on the day the week passes 40 hours (Friday here).

What the federal rules say

"Bona fide meal periods are not worktime… Ordinarily 30 minutes or more is long enough", and the employee "must be completely relieved from duty" (29 CFR 785.19). "Rest periods of short duration, running from 5 minutes to about 20 minutes… must be counted as hours worked" (29 CFR 785.18). So enter only real meal breaks as unpaid break minutes.

eCFR, read 8 Oct 2026. Many states (California among them) have their own meal and rest-break laws; check yours.

Honest limits

The calculator takes your times as typed: it doesn't know whether a break was really duty-free. The free plan covers one employee and the current pay period; Pro ($15 once) keeps every employee, saved pay periods and a CSV for payroll.

Questions

How do I calculate hours worked with a lunch break?

Subtract the out time from the in time, then subtract the unpaid lunch. 8:00 AM to 4:30 PM with a 30-minute lunch is 8 hours. The calculator does this for every day and adds the week.

Is a 15-minute break paid?

Under the federal rules short rest breaks of 5 to about 20 minutes count as hours worked (29 CFR 785.18), so they are not subtracted. Meal periods of usually 30 minutes or more, fully off duty, are not work time.

Can I enter several in and out times in a day?

Yes. Add more in/out pairs to the day (split shifts); the gaps are not counted.

Does it show decimal hours?

Yes, every day and the total are shown in h:mm and in decimal hours (8:45 = 8.75).

Is it free?

Yes for one employee and the current pay period, with weekly overtime, print and PDF. Pro is $15 once for every employee, history and CSV.
